The challenge

G&O Maritime is a global group of eight companies delivering specialised components, systems and services to the maritime industry, with a focus on safety and sustainability. As they continued to expand through acquisitions, their HR team faced a growing need for structure.

With companies operating across Denmark, Dubai, Singapore, China and Korea, each with their own way of working, maintaining consistency across processes became a challenge. HR data was fragmented, often managed in spreadsheets and difficult to use effectively.

At the same time, the company’s growth created new demands for structure. What once worked in smaller, local teams was no longer sustainable at scale. Processes such as salary reviews, reporting and employee data management required a more consistent and controlled approach.

The solution

By implementing Sympa, G&O Maritime introduced a more structured and unified way of managing HR across the group. Employee data is now centralised, accessible and reliable, giving HR a clear overview of the organisation. As Mia Rindum Kvesel, Head of Group HR, explains, “Having the full overview on an employee’s profile is a big step up for us. Data is so easy to find.”

Configured for complex, multi-entity processes

With a setup tailored to G&O Maritime’s needs, Sympa handles the complexity of operating across multiple entities and countries. Processes are structured in a way that works both at group level and locally, without adding unnecessary manual work.

This is especially valuable for more advanced use cases. For example, G&O Maritime’s complex bonus model is built directly into the system, with calculations handled automatically based on multiple variables. What was previously managed in spreadsheets is now consistent, accurate and far less time-consuming.

Replacing manual work with structured workflows

Previously, many of their HR and finance processes relied heavily on Excel. Since implementing Sympa, key workflows such as salary reviews, reporting and contract management are handled directly in their HR system.

The salary review process, for example, was implemented shortly after go-live and is now managed centrally, reducing manual work for both HR and finance while ensuring consistency across the organisation.

As Pernille Beck Hansen, HR Manager, notes, “Previously, finance created a lot of Excel sheets for managers. Now we handle it in Sympa, which saves time across teams.”

Faster, more flexible reporting

Reporting has become significantly more efficient. HR can now quickly generate tailored reports using filters and real-time data, supporting both operational needs and decision-making.

“The reporting tool is amazing,” explains Mia. “In five minutes, I can get a report with all the data I need. Before, it would have taken a whole day.”

The impact is felt even in smaller, everyday tasks. As Pernille explains, something as simple as organising employee gifts across locations used to be a manual puzzle. Now, by filtering employees by location in Sympa, everything can be handled accurately in minutes, ensuring everyone receives what they should.

The impact

Today, Sympa plays a central role in how HR operates across G&O Maritime. The system provides the flexibility needed to support a complex and evolving organisation, enabling G&O Maritime to scale while maintaining control.

HR has access to reliable data, processes are aligned across the group, and both HR and finance teams spend less time on manual tasks.

Looking ahead, G&O Maritime sees further potential in continuing to develop the system alongside Sympa, tailoring it even more to their evolving needs as the organisation grow.
