When it comes to managing personal data it is critical that this data is correct. This makes effective processes possible and creates trust towards the employer. The first data export should be done carefully, so that the starting situation is as accurate as possible. The sign-in process should be as smooth as possible, so that data can also be maintained properly in the future.
Importing data into the system (mass upload)
The final step in the implementation project is the import of current basic personal data into the Sympa HR system; details regarding employments, salary and holiday entitlements. The import of information related to trainings and permits is also possible.
Data should be imported into the system by using an Excel file. During the project you should consider whether information is available to be taken from the payroll system, from Excel files maintained by HR, or if it will be gathered from multiple different locations. It is also advised to reserve enough time for editing the data before the import.
Login credential delivery or SSO
If single sign-on (SSO) is part of your Sympa HR solution, no different sign-in credentials will be needed. The only thing that needs to be done is to provide the Sympa HR link to the users. Signing in will be automatic after signing into your computer. If you would like to ask more about SSO, please feel free to ask your Sympa contact person.
If signing in will be done manually, the user name and password can be sent to the users by email. Alternatively, we can communicate the format of the user name collectively (e.g. ’email’ or ‘firstname.lastname’), in which case everyone can change the password by using the link on the sign-in page.
B8.1 Consider if the data will be acquired from the payroll system, from Excel files maintained by HR, or if it will be gathered from multiple different locations.
B8.2 Check if the available information is up-to-date or if this needs correcting, in which case extra resources should be reserved in the excel.
Material collection and resource planning affect your internal work, so you don’t need to return the information to Sympa.
